The simplest and most useful is documenting your expenses using a tool like Expensify (https://www.expensify.com). We're huge fans of Expensify because it's easy and cheap. You can take pictures of your expenses or import them in from your bank feed. By categorizing and documenting them, you have created an audit trail for you, the IRS and for your future accountant.
I didn't really know anything about the company, but after reading about it, I see that the shot-caller there, "CEO" David Barrett, seems to have an obsession with minutiae. Yeah, there are times when it pays to obsess about every little thing, and given that his company does only one thing--expense reports--perhaps this is the correct focus for him.
That said, I am so fucking glad I don't work for that asshole. There are times broad strokes are required, and sometimes things need fine attention to detail. Only an ignorant asshole would claim that .net is rubbish for anything & everything. He pretends that it's fine for some things, but it's a backhanded compliment.

I use Expensify for work and personal expenses. Makes it easy to keep track of everything and save all expense reports and related receipts as a PDF or excel file. It has integrations if you need them and helps me keep track of what I am waiting on being reimbursed for. https://www.expensify.com/

Although the wpapp[Expensify] is somewhat buggy, the web interface and possibilities of the website https://www.expensify.com/ are very good and weigh up to the problems in my opinion..
I can't help you with the game industry BUT:
We're looking for developers and a designer. I'm not sure if we're looking for someone to do both at once, but I'd recommend giving it a shot. I'll bet David would at least want to talk to you.

I’ve been out of the business for a couple of years due to some health issues, but back then I used a service, https://www.expensify.com, to collect my costs, exported that monthly data into an Excel invoice. Clients typically wanted to pay by check, and I didn’t have near the business to justify the costs for a credit card processing service.
Forgot to mention earlier: I don’t know where you are, but in the US there are federal, state, county, and requirements to operate a business that you have to satisfy.
I used Expensify (https://www.expensify.com/pricing) when working in the US for my business and it is very good. It is an app developed by a US based company and I don’t know how it works for Australian business. Worth checking it out.
Expensify ($5/mo) is a popular one, but I've been looking into Veryfi (free version or $15/mo)
An app that does what you want (transcribes numbers from a picture into data) is actually a big complicated, which is why both cost money. And of course everything is subscription based these days.
I've also heard good things about ShoeBoxed.
I believe Expensify does exactly what we need as a family. The pricing on the other hand is not family friendly. If reading that page correct, to work as a group, we would each have to pay $5 a month. That is $120 a year for only my wife and I. Paying for good software is something I am willing to do, but that seems a bit excessive.

Expensify is exactly what you're looking for. It can track miles driven and/or actual expenses, like the gas you purchase or the oil changes you buy.
It can also track expenses for other reimbursable expenses like lunches or office supplies. I'm a Realtor, and I use Expensify every single day.
Check out Expensify. So far I am just using if for it keeping track of receipts since I don't have anyone to reimburse or bill. It looks like their SmartReports are really slick and could export to your desired excel template if necessary.
