As a matter of fact, I have a bit of experience running both agencies and local service businesses.
I have found that stability and sustainability in agencies come via a few factors: specialization, branding, cashflow, and adjacency to revenue. You cannot build a stable agency without a degree of expertise and subject matter authority. Otherwise, you're just brokering outsourcing and won't ever build a sustainable and resilient company.

Check out Borg Backup... It's a tangential way to approach this problem but I've backed up 50GB or so very quickly over wifi due to its de-duplicating algorithms...

I think it all comes down to the current growth stage of your agency. Don't look at the charm of having "cool" tools and resources. More often than not, these tools can maybe even curtail growth by adding more fat to the processes.
Instead, analyze your current workflow. Look at what processes need to be improved and worked upon.
If you have a lot of visitors coming into your site who end up contacting you via your support email, then it makes sense to have a chat widget on your site to immediately answer user queries.
That being said, there are some core processes that can be well aided with tools. One such process is project & task management. Use the free version of Asana for this.
Bottom line - Hire tools that aid to your current processes. And do a rigorous evaluation of the same.
