These tools help you keep organized and help you have a good workflow. We just started using monday.com at my job (I'm a programmer and paralegal) and so far it has been working nicely in keep track of what needs to get done, files, and different tasks to be assigned.

We are thinking of buying on premise license for Bitrix24 which includes the source code. But our local reseller (and also Bitrix24 main website pricing page https://www.bitrix24.com/prices/self-hosted.php) offers us prices calculated per user. If the self-hosted version includes the source code, how do they prevent you from using it for as many users as you like? Is it some kind of ethical licensing or what? I asked the reseller but they don't seem to know any technical details, surprisingly.

It has built in tools for CRM workflows, you can use it as an endpoint for email (like a ticketing system) or integrate it with your email servers for webmail right in the application.

Did you check the non-profit pricing? If you can't get that then I'd be inclined to go the WP route since a lot of it can be done for free.
Yeah, I've already had a handful of guys who actually used a full feature set of Act to take a look. They all seem impressed with what is available that isn't available in Act, and integrating things like the chat bot, and extranet project management tools will be a big winner for them.
I fully plan on letting our vendor do the data migration. Fully worth the $150 an hour to let them deal with the headaches and frustrations, and they said they have done migrations out of Act before. It does seem Bitrix was advertising itself as a replacement for Act before, though the information on that page is a little out of date, but not much since Swiftpage hasn't done much with Act.
You might want to consider Bitrix24. It's a CRM with project management integrated into it, so it advertises itself as an alternative to Todoist.

Hubspot CRM would be a distant second (more of a contact manager than a full featured CRM).
I would have a look to Bitrix24 https://www.bitrix24.com/ (to disclose my realation, I came across this during my research, but don't have personal experience). Even the free plan has unlimited users as far as you can fill everything up to the 5GB. I personally use JIRA Cloud. Works for me well, but pricing is based on the amount of users which would be pretty lot in your case.

I remember when I was doing my research, this was one of the features that many apps lacked. That and recurring reminders.
One app I used in the past is Bitrix24. It is web based, has a mobile app that syncs everything, and has the option to categorize lists.

My recommendation is to pick CRM that comes with forms natively integrated. Here's why. Any time you change the form, you'll need to change fields inside CRM to match these changes. I am not sure about Zoho, but I know for sure that in Bitrix24, when you create a website form, the same fields will be automatically added for the corresponding CRM entity (usually lead or contact). This way you don't have do the same job twice.
Regarding tasks and projects in CRM. Bitrix24 has that natively, Zoho CRM easily integrates form Zoho Projects (you'll need to pay for both separately), Insightly and AgileCRM have tasks and CRM natively integrated as well.
Marketing automation is available in all of these four as far as I know. So, if I were you, I'd start with the free option first and see if it works for you.
