Depending on your needs I would look into HubSpot (because I feel like their free version offers far more than free versions of other CRMs), Notion (free for personal use and very affordable team plan) and, my personal favorite, eWay-CRM (Outlook integrated very professional, fully customizable yet affordable).
All of them have pros and cons and you'll likely need some time trying out different options to see what works best for you and your workflow.
HubSpot wasn't exactly my cup of tea, Notion is something I use daily for my personal, but not for work life, and eWay-CRM turned out to be such a great and affordable tool that I can no longer imagine working without it. If you end up having any questions about it, I definitely recommend taking advantage of their sub r/ewaycrm.
Check out EspoCRM. It's an open-source solution that can satisfy your needs. With the workflow feature, you will be able to automate the email sending for the anniversaries and b-day emails as well. It can also be integrated with your mailbox, Google contacts and calendar, Mailchimp, etc.
I suggest Zoho CRM. It's very easy to use Zoho CRM. You can create task, appointment and reminders with superb ease. All reports can be monitored seamlessly. The learning curve to use this software is very short. I can make my Team work from Day One. If you want to see more CRM for your company, I found a list. http://www.softwaresuggest.com/crm-software May it help you for finding right CRM.
Two options (Note: I am part of the team that created both the apps)
Rolo (https://play.google.com/store/apps/details?id=com.netmine.rolo&hl=en) - Works independently. You can sync to your google account and get your contacts. From then on you can write and track call notes. The call notes popup during a call. What's missing: You cannot coordinate between the three of you.
RoloCRM (https://play.google.com/store/apps/details?id=com.netmine.rolo.crm&hl=en) This may work for you.
Both apps have a built-in support chat that the founders handle. Feel free to reach out if you have questions.
If you're looking for a flexible tool, actually a flexible connected suite of tools, I vividly encourage you to test our solution: Zenkit Suite.
You'll find all you need in here; https://zenkit.com/
Please let me know, we'd love your feedback.
I notice most replies here are people arguing with you that cloud is better so I thought I would actually give you a potential solution, Essential PIM. :)
It can work entirely off the cloud and offline if you want.
You could try using Notion. It's not exactly a CRM, but you can use it as one (for small business purposes) and it's free. I use it for my personal life mostly, but I've seen people use it for their business as well.
Alternatively, if the CRM would have only one user, I'd recommend looking into the free version of eWay-CRM. I've been using it for a while now and it's a truly great CRM that integrates with Outlook. There is a free version, which, if I'm not mistaken, has everything the paid one does, but you can't customize it and only one person can use it.
Hopefully one of these will do the trick.
Airtable will let you build your CRM the way you want to. And you can use Zapier to automate things like notifications.
I do a lot of coaching and consulting around task management and CRM tools, so feel free to reach out if you have questions about developing this in Airtable.
Typeform integrates with Zapier which makes it easy to set up automations to push your responses to a spreadsheet or CRM. Any CRM that is simple to use and integrates with Zapier should work nicely for you!

I've setup this many times for the CRM I'm building, Wobaka. Let me know if you have any questions about it :)
Hello,
This is a solid choice.
Send contacts to Makesbridge via auto sync from Google Drive or Zapier.
I’d recommend Zapier because GDrive syncs are more suited for bulk transfers from Sheets and Contacts.
You can set your business rules for MQLs and SQL criteria with Makesbridge filters based on just about anything. Slice and dice by any data set.
Makesbridge integrates with Gmail, so you can send directly from your teams’ own email accounts. Or your can use their mail service and auto merge your reps email addresses as the from address.
With its Zapier connection you can also test direct mail and sms.
Likewise you can automatically remove people who set meetings with your team.
r/saashups community members can package and post a flow for you in about 10-30 minutes after picking up a request at no cost.
It may be worthwhile to explore eWay-CRM. http://www.eway-crm.com
Much like yourself - we also live inside of Outlook and turn it into a CRM tool for your team.
We also have mobile and web apps for users working in the field. And our PowerBI sales dashboard gives you the deep reporting that you're likely looking for.
Check out BOAST.
Has CRM and projects, expenses, case management, doc storage all for much less than the $70 a user you would pay just for CRM.
BOAST would love to try and help you. We take a more hands on service approach than most to configure a workflow that works for our clients needs.

Mmm, If you have access to a techie you could do your own install of SugarCRM https://sourceforge.net/projects/sugarcrm/ Some hosting companies also provide a one click install of it like https://www.blacknight.com/pre-installed-software.html
Hubspot isn’t bad either. In my experience, Salesforce is a bit more holistic in terms of end to end processes.
G2 is a good resource to see objective data.

Hi
With over a dozen CRM solutions available it's not easy to make a choice. Each solution has its pros and cons when compared to another. Some are outright expensive to be even considered by a small business.
Based on the requirement mentioned I would suggest you have a look at Close
Look into InStream.io. It's not designed exclusively for the IT branch, but if you're open to suggestions I recommend you check out its features at http://instream.io/en/features/. Good luck in your search.
Look into InStream.io. It's a cloud-based BRM (Business Relations Management) platform which both offers an address book, within which you can also classify and group your contacts according to your needs, and suggests the client or business partner you most possibly have best relations with on the basis of your communication history.
It does integrate with Outlook and (as an added bonus ;)) automatically downloads all your conversations without you having to manually copy and paste them like you would with regular CRMs. It also offers integration with phones and social media accounts, in case you need to keep track of those connections as well.
It's very coherent and easy to use due to its simple layout; you can also try out a YouTube tutorial at https://www.youtube.com/watch?v=ne9N0KmUFP8 to see what it looks like.
If that sounds like something you would be after, check out http://instream.io/en/features/ for a broader outline.
Good luck in your search!
There is a platform that has most (if not all) of the characteristics you're looking for. Check out InStream.io, here's a few main features that may prove particularly useful for you:
Look into http://instream.io/en/features/ for more info on how it can profit your company.
There's a free 14-day trial available, though the regular price for you would be extremely affordable anyway given you're a small company. Good luck!
Look into InStream.io. It does have all of the features you've mentioned, the whole system is integrated within all computers in a company so you not only interact with clients, but also with your colleagues, in real time.
It's not expensive at all, and you can get a free 14-day trial.
Here's an article outlining its stream features, probably the most useful ones for your case: http://instream.io/en/stream/. Good luck!
I use Hubspot at work. Unfortunately, there is no Facebook integration but Twitter monitoring works really great. I also like that it has many other integrations, for example with Survicate, since we make a lot of website surveys. It is a great integration - Survicate has a free subscription plan and free 2-weeks trials of other plans. You can learn more about this integration here: https://survicate.com/integrations/hubspot-survey/ What I also like about Hubspot are email reports which in our case are sent daily. You may, of course, change the frequency of the reports or completely unsubscribe.
Airtable would be a flexible way to do this as you can customize it any way you want: https://www.airtable.com/templates/search?q=CRM.
You can also try Streak if you use Gmail/Google Workspace: https://www.streak.com/features.
Your requirements are too generic and any "CRM product" should be able to fit the bill.
Check out something like https://www.streak.com/for/hiring-ats-inside-google-gmail - if you can get over the UI weirdness.
If you are looking for a more traditional record keeping experience, check Hubspot and Zoho CRM. Both are easy to use and powerful to scale much beyond your requirements. You could use clicks to configure simple automation (e.g. update 'last active date' on contact when a new note is created against the contact). I suggest you use Contact, Activities to record data that you have outlined here, and use Notes for more unstructured data as you see the need in the future.
If I understand correctly, their opensource/free/downloadable version doesn't allows Gmail access; as per this page: https://www.vtiger.com/cloud-vs-open-source/
Or am I missing something?
