You could use power automate to link the creation on the task or calendar event in Outlook to a Planner for example which you can pin in a channel.

Setting up Microsoft Flow... flows.... against the backing SharePoint Online libraries is probably your best bet. There's a bunch of templates for turning a SPO event -> Teams message. Something like this might be pretty close.
We just did this and it was fairly cheap. Get a YeaLink MP56 phone. Install the latest firmware on it. (I did 122.15.1.16). extract the .cfg file from the phone and add these lines so it will set up the phone to auto answer and to answer with the headset jack:

I got that much, but you said the list is in another digital system? does that system not allow for this level of interaction? have you looked at automating the generation of the lists? Could you copy/paste out of the other system into something like excel and let people check/highlight/cross off? can you make planner tasks? or use the Lists tool? can you automate it using flow.microsoft.com?
A shame Telegram isn't fully open though, would be better if they supported https://matrix.org/ to avoid being locked to their network. "Native" Matrix could be better for enterprise in terms of control/policy if you are willing to host a server yourself (or rent one).

Unless you're running a VPN at home, whatever VPN you use will change your public IP. Depending on what level of Azure they pay for and what risky behavior detection are enabled, you may flag as suspicious even jumping on a VPN in the same country.
It takes 30 seconds to pop that IP into the ARIN database and see you're using NordVPN.

You may want to consider decoupling your microphone from the headset. I have Bluetooth hearing aids which have mikes built-in but aren't really optimized for streaming audio. NB Slack has things called "sections" which you can use to organise Channels (https://slack.com/intl/en-gb/help/articles/360043207674-Organise-your-sidebar-with-customised-sections). If Teams had such a feature, it would make it much more usable, as far as I am concerned.
This can be thwarted if the company you're working for does not allow additional installations of their messenger (e.g. on your phone, your own computer, etc.). A company I'm contracting with right now does this with WebEx. When I try to log in on the secondary device, it stops me. Just ordered a fob jiggler (mimics a USB mouse)...will see what happens with that.

I haven’t tested this yet, but you might look into an app called Loopback (https://rogueamoeba.com/loopback/). I use it to make my AirPods work with Teams, which normally doesn’t work with Bluetooth headsets of any sort. I’ve been meaning to try the system audio part as well and haven’t gotten around to it yet.
I use the precursor to Loopback which is SoundFlower and the Aggregate Device I made in the Midi controller. I use this for screen recording when I want to have a user pinned for a Teams recording to use in a podcast. I also use it to grab audio for presentations for other sources.

Ask them to check their federation settings for your domain. If one of them doesn't have a static entry for you and are just doing autodiscover, great, that's the one to test with.
If weekends or something are an option, plan a weekend with the hospital where you'll change your public federation DNS records to point to Teams in the cloud. Change your TTL right down earlier in the week, so cutover is quick.
On the weekend, change the DNS and give it an hour, then test with the hospital to IMs come thru to Teams correctly. If they don't and you don't get anywhere troubleshooting, change the DNS back to point at your Lync farm.

The reason that I ask is because the way that Teams (and Skype for Business) find voicemail messages in your Exchange mailbox is by checking for a specific Exchange message property (PR_MESSAGE_CLASS = "IPM.Note.Microsoft.Voicemail.UM.CA"). This property gets stripped out if the message is delivered through a third party mail gateway.

When needed, I switch to the splitcam camera and audio in my videoconference program, and I start the media in splitcam. Much more easier than OBS, and it works like a charm.
We had some pretty good success with playing pictionary using the the whiteboard tool. You need dedicated scorekeeper/moderator - they can be the same person but it might get tricky for some.
The moderator randomly selects a participant (John Smith) and sends them a private message with a word random word from a pictionary random word generator. The participant starts a whiteboard sharing session. In the meeting chat, the moderator types in something like 'Q1: John Smith' and then John can start drawing out the clues. Participants must type their answer into the chat to guess so that you can actually see who guessed it first. We actually found out that when you have 10-20 people send a message within a second of each other - they don't necessarily show up in the same order for all participants - so be prepared for some bitter arguments about that. We just made a rule saying that whatever the order displayed on the moderator's screen is the final say. There are a few free online scorekeeper websites that the moderator/scorekeeper can use to keep track of points.
You can also use Kahoot! to make your own trivia that each person can join on their phone or in a browser alongside their Teams window and the moderator can share their screen to display the questions to everyone.

This is the same thing with the Power Platform. Creating self-service portals is the future, where you have expirations, approvals and audit log trails is the new norm.
That's the entire point of many of these services. IT can't possibly meet the needs of every user, so you are empowering your users to do it themselves, and only engage with IT if they have issues.
Office 365 and Azure provide more than enough tools to be proactive, the Center of Excellence Starterkit is a perfect example. While it isn't specific to Teams, the same methodology is recommended across the entire Microsoft Cloud.

I'm a creative director at a hospitality group and I have frequent meetings with the operations team. Brainstorming, making lists, special requests that get tucked into an entire conversation. Sometimes I walk away with actionable items relevant to discussion at hand and my phone is always with me. I prefer this, because I don't have to carry a notebook or port things from one app to another. It's just a chat to myself that's available everywhere I have Slack installed. I don't always want to chat notes to another party. It might be a rough idea, that's too early in the process and I'm not ready to present it.
A lot of times I Slack myself if I'm on my iPad/Phone and I want to get something to my PC to look at when I'm back in the office, whether it's an idea, a sketch, a photo, a url, whatever. I do this all the time - send notes to myself, then when I am back at my desk, I go through my chat and grab whatever it was I wanted to remember.

You can rely on Microsoft Flow (or Power Automate) to create a task for this. Check out what they already have to see if one fits your needs, if not you can always create a flow from scratch. I would start with something like this and adjust it to what you need.
Really strange. In the grand scheme of things, Teams doesn't have a calendar. It just leverages the calendar that outlook/exchange uses. Syncing that calendar to Google should be the easy fix.

I have used this device to hand off the Bluetooth from other headsets to a computer to get Microphone and Headphones out of it. It bypasses the horrible way that windows handles the quality. The trade off is that it sometimes does not want to connect. I have to unplug it from the PC and plug it back in or go through pairing agin. I don’t own AirPods, so you will have to test it. Cool didn't know about Teams having those built in capabilities. For a simpler way there are lots of ways to share a single computers "screen", especially if you can run a Ethernet cable from the "host" monitor to the tv in the lobby. You might want to check out dummy or null monitors. Theyre small devices that stin in your 2nd HDMI or DisplayPort port and fools Windows into thinking there's a 2nd monitor there.

You'll have to be using specific mics that have that type of noise cancellation. The other thing to consider is that some of these could be presenting to live meetings and not need to hear anything back.

That was a sticking point for us too. I didn't want to join them to the domain as our default policy broke a load of functionality with them so using SCCM was out the window. I eventually just moved all the NUCs and table units to a separate VLAN and gave them access to Windows update and the Windows Store (this one is important). I end up turning the access on and off to give us a little control on what updates are rolled out and when. By default the devices will check for updates and then reboot at 2am every day.
The Crestron firmware updates for the table units, AV ingest etc get applied via Windows update so there is no need to update their firmware separately.
Lastly we found that using a EDID emulator made them a little more stable. I believe that Crestron also have their own version now too (no need for a full on scaler).

We were having that issue when devices were left overnight. Turns out they weren't really hanging but the model of displays we used were the issue and Windows couldn't handle the constant disconnects from it. We put these in and that problem went away.

I found a link for this while I was searching around for animated backgrounds for Teams which I'll try to find again, but here's what I remember. You need to install something called OBS (Open Broadcaster Project) - it's free and doesn't seem to come with any crap.
Then you need to install virtual camera software - it let's you 'fake' a PC camera from local video files.

When you've installed them you go into Tools => VirtualCam and enable Auto Start, check Horizontal Flip (if the orientation of your background matters to you), ensure Target Camera is OBS-Camera, and Buffered Frames is 0 (you can have buffered frames, but why would you?).
Then you need to go into the main OBS window and first add the video you want to the Sources window. This can be set to loop or whatever and you can put crazy filters on it. Then you need to add another source for your actual camera (Video Capture Device), but need to make it so that your camera background is transparent. You do that with a chroma key.
Right-click your camera (Video Capture Device) and select Filters from the context menu. Hit the + on effect filters and pick Chroma Key. Name the filter and hit OK. Select the color from Key Color Type. You can try custom (there is a screen color picker in there) but I found it's a lot of messing around if you don't pick one of the predefined ones. Play with the sliders a bit until you can see you super-imposed on your video background.
Then you can just go into teams and select the virtual camera, and everyone will be impressed/annoyed with you.

Huh. Perhaps your machine is performing better because of the docking station. I have my laptop connected to two 1080p 75Hz monitors and a USB keyboard and mouse via an Anker USB hub.
Is there some reason why a docking station would be better? I was resisting the idea of buying the WD19TB because it is so expensive and I am on a bit of a budget. Where did you buy yours?
Assuming they're all in the same class, I think your best bet for totally headset-free would be to only connect one device to a speaker (bluetooth or wired, either should work), then mute the speakers on the other two. Then they can all three still use individual mics, either holding the headset like another commenter mentioned or getting some cheap desktop mics.
I also wouldn't totally rule out more comfortable headsets. Something designed for all-day work, like this, would be way more comfortable than most consumer-oriented headsets.
A very good ‘cheap’ solution is the Jabra Speak 710. You can link two of them together for larger spaces, but they are very loud.

This may not be the answer you're looking for but I use a Jabra external speaker and mic coz the mic and sound is so much better. The model I have comes with an mute button which is quite handy.

I haven't used its mic (I always use a headset), but the video is better then I need for my meetings. Slightly better than my old Logitech C920, but if I called someone and had them guess which of the two cameras I was using, they would have to toss a coin. Both are clearly better than my laptop's built-in camera. I like the USB Type C connector, because my work laptop's USB Type A ports are all in use (which is what led me to getting the Logitech StreamCam).
My biggest "con" is that it comes with two "bases": one that screws into a traditional tripod and one that folds up and lets it hang on the top of a monitor. The issue is that there's no logical place to store whichever one you're not using; on the C920, the tripod screw is built into the folding stand, so you don't have a loose part.
Anyway, if you're looking for a camera to use for meetings in normal room lighting, I think this camera should meet your requirements.
